What you’ll do
- First point of contact for new hires, coordination with offshore team in Budapest, review and distribution of contract documents, tracking return and completion of documentation, coordinating pre-employment screening, coordination with internal departments, writing welcome letters, processing all new hire documents (payroll, social security registration, criminal check, etc.)
- Handle all administrative tasks for health, accident and long-term sickness, liaise with the insurances, unpaid/ sabbatical leave and the coordination of work certificates (supported by the offshore team in Hungary): check documents in English, German and French, liaise between managers/ employees/ Hungary team/ HR, report preparations (overtime financials, vacation accruals, different headcount reports for internal and external parties), absence management for long-term disability cases, obtain medical certificates, track absences and ensure necessary changes are made for payroll and vacation entitlement calculations; maternity leave, parental leave, child/education allowance administration
- Coordination of the administration of leavers (supported by the offshore team in Hungary); process removal from payroll, check termination in Workday, documents completion, track receipt of all necessary documents, scan leaver files)
- First point of contact for unemployment authority
- Employee records management: Maintain and ensure employee records are compliant, completed, scanned to the internal HR management system Workday and securely stored or archived including destruction of records
- Responsible for timely collating of payroll relevant data and transmitting all payroll input to the offshore payroll team (leavers, benefits, vacation, overtime, work permit etc.)
- Provide professional administrative and operational services to the HR team and all employees in Zurich and Geneva for the following benefits: Reference Letters, Reference Requests, Absence & Time Management, Standard Letters
- Raise service level issues and involvement in escalations
- Manage internal and external audit requests
- First point of contact for tax & social security authorities
- 1st level system support for all staff
- Involvement in HR projects, improvement of processes, digitalisation
What we’ll need from you
- Commercial apprenticeship (KV), high school diploma
- Further education of certification in HR Administration is an advantage
- 2-3 years’ work experience, preferably within HR and in an international environment
- Strong knowledge of MS Office, knowledge of Workday/SNOW is a plus
- Fluent in English and German, both written and spoken. French would be an asset
- Pleasant, flexible and well-balanced team player
- Person who enjoys managing administrative HR tasks, with a strong service orientation to deliver quality under high pressure
- Trustworthy, discreet and self-dependent personality with an accurate and diligent working style
- Strong willingness to learn, solution driven, pro-active mindset, excellent time-management skills
