Current responsibilities include oversight and coordination of workspace allocation, access management, and neighborhood planning, while ensuring compliance with the Banking Floor & Space Management Playbook and applicable policies and standards. The role is based onsite in New York to enable direct, in-person engagement with employees and stakeholders across the floors.

Key Responsibilities

  • Own and drive workspace management, oversight, and control activities across Banking floors, serving as the accountable lead for the function and acting as the primary point of escalation for floor-related matters, including Business Real Estate Liaison (BREL) responsibilities where applicable.
  • Provide guidance and support on floor management processes, governance requirements, and related business activities, including desk, locker, and neighborhood management.
  • Partner with Banking Management and department heads to understand space and headcount trends and implement best practices.
  • Facilitate proactive space planning and headcount forecasting, including support for office moves, seasonal surges (e.g., summer intern onboarding), and capacity management initiatives.
  • Support the review, tracking, and management of workspace requests and governance-related activities, including access, office assignments, locker assignments, and standing desk/furniture requests, ensuring compliance with established thresholds and standards.
  • Provide day-to-day guidance and informal leadership to the broader Workplace Management team, helping coordinate priorities and workload across colleagues to ensure consistent execution and coverage across the floors.
  • Maintain relationships and coordinate activities with RES, IT, Corporate Security, and Facilities teams associated with Banking floor operations.
  • Ensure approvals and activities adhere to established business processes, governance requirements (Employee Workplace Request approval workflow), and control standards.
  • Maintain workplace documentation, procedures, and process flows (e.g., move playbooks, communication templates).
  • Perform ongoing monitoring of space utilization (via InControl) and identify potential risks, constraints, or control issues.
  • Prepare management reporting, occupancy analytics, forecasts, and governance materials in partnership with Workplace Management and other global support teams.
  • Complete compliance, governance, and reporting requirements related to space and system data (Archibus, Workday, Global Directory).
  • Support business execution initiatives, process improvements, governance activities, and strategic projects to enhance operational effectiveness across Banking floors.
  • Support audits, business continuity initiatives, and ad hoc projects as needed.
  • Ensure compliance with Citi policies, procedures, and applicable regulations while effectively managing risk.
  • Leverage systems and tools (Archibus, Workday, Manhattan Software, CMP) and perform appropriate quality checks to support the preparation and delivery of reports, analyses, and other ad hoc deliverables.

  • Experience with space governance, occupancy planning, and headcount/data analysis.
  • Advanced Powerpoint and Excel skills including Pivot Tables, XLOOKUP/VLOOKUP, formulas, and data analysis.
  • Experience with or willingness to learn Archibus, Workday, Manhattan Software, or related workplace management systems preferred.
  • Strong attention to detail, analytical, organizational, and problem-solving skills.
  • Excellent interpersonal and communication skills with the ability to work with stakeholders at all levels, from Managing Directors to Executive Assistants and Analysts.
  • Willingness and ability to work onsite full-time, including regular walking of assigned floors and neighborhoods.
