Team/Role Overview
The Vendor Program Lead role involves implementing, and administering a worldwide employee dining program, focusing on company goals, food sourcing, vendor management, project management across process adherence projects; budget oversight, quality control, and data-driven improvements to employee satisfaction and program ROI (i.e.: fees and charges, etc.). This role requires a strategic, analytical, and collaborative approach to ensure the program aligns with organizational goals, promotes employee well-being, and delivers cost-effective, high-quality dining experiences across diverse global locations. This role is essential to address and resolve queries including those which are time sensitive in order to sustain a positive employee experience, while maintaining internal controls and program objectives to mitigate financial risk to Citi. Interface with stakeholders regularly to address order queries.
What you’ll do
Project Management
- Develop and maintain robust, integrated project plans. Analyze project plans to identify risks and subsequently work with project team members to formulate recommendations.
- Develop program communication
- Provide project leadership to ensure successful delivery of projects through adherence to processes and tools, identification/management of risks and issues, facilitation of/participation in key meetings, engagement of stakeholders, and on-time completion of milestones and deliverables to meet and exceed customer expectations
- Drive and lead process efficiency projects that drives digitalization and automation, where applicable
- Ongoing review and development of current processes to increase efficiency.
Program Standard Compliance & Finance
- Drive adherence to processes and tools across project team including performing Quality Assurance reviews to monitor compliance to standards where applicable
- Drive policy compliance by interfacing with internal global and regional senior stakeholders, business heads, legal and compliance to retain and enhance support of the programs
- Manage the program's budget, track expenditures, analyze costs, and identify opportunities for cost savings and increased program value.
- Stay informed about industry trends in food service, sustainability, and employee benefits to enhance the program and keep it innovative.
Stakeholder Management & Quality Assurance
- Interact directly and develop strong relationships with nominated regional business representatives to drive compliance and as an escalation point for issue resolution
- Lead stakeholder’s meetings to review program status and resolve issues in order to meet target deadlines
- Participate in weekly meetings and track progress
- Collaborate with internal teams (HR, facilities, legal) and external stakeholders to gather feedback and ensure program success
- Ensure the program adheres to all local health, safety, and labor regulations in different countries.
- Required Skills & Experience
- Establish and monitor quality standards for food, service, and overall dining experience, conducting regular audits and site visits to ensure compliance.
Metrics and Reporting
- Define and monitor key performance metrics and respond quickly to any changes or deviations
- Prepare detailed status reports and related PowerPoint presentations
- Reporting of monthly and quarterly metrics, support the preparation of monthly metrics and ad-hoc meetings, prepare analyses of on-going management of best practices.
- Participate in weekly/monthly/quarterly program level reporting processes and reviews, including analysis and preparation of project dashboards, metrics, and materials
- Collect and analyze data on employee satisfaction, food trends, and program performance to drive continuous improvement and inform strategic decisions.
Vendor and Partner Management:
- Identify, negotiate with, and manage relationships with food service providers and suppliers globally to ensure quality, cost-effectiveness, and adherence to nutritional and safety standards.
What we’ll need from you
- 6+ years of professional experience, 2+ years in similar role.
- Proven experience in hospitality management, food service, or strategic program management.
- Strong vendor negotiation, contract management, and budget management skills.
- Exceptional analytical and problem-solving abilities to drive data-informed decisions.
- Excellent communication and interpersonal skills to work effectively with diverse global teams and stakeholders.
- Experience in managing complex, geographically dispersed programs.
- A passion for employee well-being, food quality, and service excellence.
- Ability to handle pressure and prioritize workload in a multicultural environment
- Excellent analytical, financial, organizational, project and time management skills
- Able to establish relationships with and influence all levels of management
- Demonstrates a sense of ownership and responsiveness and takes the initiative to drive results every day
- Strong written and verbal communication skills are critical for this position
- Strong negotiation and presentation skills are critical for this position
- Proven track record of Customer Service experience
- Proficient technical skills covering all Microsoft Office products including Word, Excel, Access and PowerPoint
- Bachelor’s Degree/University degree
