Senior Executive Assistant
We are looking for an Executive Assistant to perform a variety of administrative tasks and support our Riyadh HQ CEO and leadership team.
The Senior Executive Assistant provides support to another individual or group of individuals by handling correspondence, managing calendars, appointments, conference calls, arranging meetings and ad-hoc events, making travel arrangements, processing expenses and invoices, working with business documentation, presentations, budgets and agendas, maintaining accurate document filing system on the share drive and providing other administrative support to the leadership team
Responsibilities:
- Directly supports the Riyadh HQ CEO and leadership team
- Manages day to day calendar(s) of the Riyadh HQ CEO and Leadership team
- Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls
- May prepare and review materials and correspondence for meetings, including pre-meeting briefs, minutes of meetings, agendas and follow up on action plans
- Assist with creation/modification of presentations, spreadsheets, and other various documents
- Conduct desktop research on select topics that may be requested from the Managing Director level manager
- Establish and nurture contacts with other Senior Executive Assistants within the firm, and represent the office of the RHQ in the most professional fashion
- Preparing memos, letters, invoices, statements and other documents
- Liaising with clients, colleagues and other stakeholders
- Greeting visitors and clients
- Track and oversight of business projects
- Support the RHQ CEO & leadership team with arranging dinners, social events and public appearances
- Supports with Researching new business ventures or projects
- Coordinates travel arrangements; prepare and distribute schedules/agendas for travel
- Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
- Orders supplies and process invoices through Procure to Pay system
- Process and follow-up on Virtual Requests
- Assists in ad-hoc reports special projects as needed
- Trains, coaches or guides other administrative staff when required
Previous Experience:
- Minimum 5 years of work experience as an Executive Assistant, Personal Assistant or similar role
- Previous office administration experience preferably within a large and complex financial services or similar organization supporting Senior Management
- Fluent in Arabic and English
- Exceptional organisational and diary management skills with attention to details
- Flawless communication and presentation skills, both written and verbal
- Consistently demonstrates clear and concise written and verbal communication skills
- Highly proficient in Microsoft Office
