Job Overview

The Senior Executive Assistant provides high-level administrative support to the Head of HR Legal within Citi’s Legal Department, operating in a dynamic, fast-paced, and highly confidential environment.

The HR Legal department provides comprehensive legal advice across the entire employee and non-employee work lifecycle. This includes guidance on onboarding, offboarding, wage and hour compliance, compensation and benefits, leaves of absence, accommodations, discipline, conduct, accountability, mobility, and immigration. Additionally, the team is responsible for defending employment- and immigration-related legal claims in the United States and other key countries.

This role requires close interaction with Enterprise Management Team (EMT) members and demands exceptional professionalism, discretion, and judgment.

The successful candidate will be proactive, highly organized, and capable of operating independently with minimal direction. They will serve as a trusted partner to senior leadership, ensuring seamless coordination of schedules, meetings, travel, and executive-level communications while supporting broader Legal department priorities.

Responsibilities:

  • Directly support the Head of HR Legal on a 1:1 basis and generally support the HR Legal Department
  • Manage a complex, high-volume executive calendar, prioritizing conflicting demands and exercising sound judgment
  • Coordinate all aspects of executive-level appointments, meetings, offsites, receptions, and conference calls
  • Prepare, review, and modify presentations, spreadsheets, reports, and other executive materials
  • Handle highly sensitive and confidential information with the utmost discretion and professionalism
  • Coordinate domestic and international travel arrangements; prepare and distribute detailed travel schedules and agendas
  • Prepare, reconcile, and track expense reports through Travel and Entertainment Expense systems
  • Order supplies and process invoices through Procure-to-Pay systems
  • Process and follow up on virtual requests and internal workflows
  • Troubleshoot scheduling, system, and administrative issues independently and proactively
  • Train, coach, or guide other administrative staff when needed
  • Assess risk appropriately when business decisions are made, demonstrating particular consideration for Citi’s reputation and safeguarding the firm, its clients, and its assets by adhering to applicable laws, rules, regulations, and internal policies

Qualifications:

  • Previous office administration experience, preferably within a large, complex financial services or similar organization
  • Highly proficient in Microsoft Office and other internal systems and applications
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated and detail oriented
  • Demonstrated experience supporting senior leaders and regularly interacting with EMT-level executives and their Executive Assistants
  • Ability to confidently represent Citi / HR Legal to both internal and external stakeholders, including effectively coordinating with external law firms and responsibly handling the sharing of sensitive documents.
  • Ability to operate independently with minimal supervision while exercising strong judgment
  • Exceptional organizational and multi-tasking skills, with the ability to manage competing priorities and tight deadlines
  • High level of reliability, professionalism, and accountability
  • Strong problem-solving skills with the ability to anticipate needs and resolve issues proactively

Education:

  • Bachelor’s/University degree or equivalent experience

Primary Location Full Time Salary Range:

$91,690.00 - $119,610.00
