Job Overview

The Agency & Trust team provides innovative banking solutions to financial institutions, corporate clients, and public sector entities around the world. The business offers a full range of fiduciary, agency, depository and escrow services in both developed and emerging markets. The Transaction Management Client Executive is an intermediate level position responsible for supporting the end-to-end implementation, registration, and monitoring compliance of fiduciary and agency transactions of our client´s transactions within the Agency & Trust Team.

C12 AVP Transaction Management Client Executive- Responsibilities:

During the negotiations and implementation process of Agency & Trust Clients' contracts, ensuring compliance with applicable regulations and alignment with product definitions and internal policies for new and existing transactions ensure accuracy, compliance, and efficiency throughout the transaction lifecycle, contributing to the seamless delivery of our fiduciary, agency, depository and escrow services.

Coordinate the implementation of new deals and amendments: lead the setup and configuration of new fiduciary and agency transactions, ensuring all system parameters and internal requirements are accurately reflected.

Transaction registration: oversee the precise and timely registration of fiduciary and agency transactions, including but not limited beneficiary updates, in relevant internal systems and external registries.

Issue resolution: identify, investigate, and resolve issues or discrepancies related to fiduciary and agency transactions, escalating complex matters to senior management as needed.

Process improvement: contribute to the continuous improvement of fiduciary and agency transaction processes by identifying inefficiencies and suggesting enhancements to workflows, systems, and controls.

Documentation and reporting: maintain accurate and comprehensive documentation of all transaction activities, processes, and relevant communications. Generate periodic reports on transaction status, performance, and compliance.

Compliance adherence: ensure all activities comply with internal policies, regulatory requirements, and industry best practices related to fiduciary and agency services in accordance with the product area guidelines.

Stakeholder communication: liaise effectively with internal teams (e.g., Sales, TRM, Product, Admin Ops, Operations, etc.) and external parties (e.g., clients,) to facilitate smooth transaction processing and information exchange.

Coordinate the administrative activities in the process of negotiation of new transactions and amendments:

  • Pre-closing requirements with internal and external clients.
  • Verify that all precedent conditions, additional approvals and formalities have been obtained prior to executing any Client Contract including but not limiting to screen all participants or as defined by each country, verify KYC in place, assure Deal Review (regional and local) approvals and requirements have been met, obtain fee schedule, internal requirements, etc.
  • Coordinate and liaise with other teams internally and externally, locally and regional, such as law firms, clients, regulatory bodies, and any other party as necessary to ensure successful implementation of new and/or existing transactions.
  • Works with local teams as appropriate for tracking and follows up for completion and filing of annual reviews, covenant compliance checklists, inspections and other reporting requirements.
  • Prepare checklists: deal implementation, documentation and transaction checklists.
  • Support clients during the negotiation and implementation process in all administrative activities.
  • Perform follow-ups on documentation and deferrals.
  • Respond to Client, Product, Sales, and Operations regarding escalation questions of the deal structure.
  • Provide insight and recommendations on best practices around policies and procedures.
  • Ensure the registration of pending documents after fiduciary and agency transactions in the CanList and monitor their timely completion, escalate in case of delay in compliance.

Qualifications:

Knowledge Issuer Services (Agency & Trust).

3-5 years of experience in financial services operations, with at least 2 years specifically in fiduciary and agency services, trust operations, or a related back-office function.

Proven experience with transaction processing systems and reconciliation activities.

Knowledge of the fiduciary and agency products, the different roles and services.

Knowledge of relevant regulatory frameworks (e.g., KYC, FATCA, etc.)

Experience of successfully interacting with external and internal clients.

Teamwork, communication and negotiation skills.

Ability to work when the situation requires immediate action and managing deadlines or unexpected changes in expectations or requirements.

Ability to work independently and as part of a team in a fast-paced environment.

Exceptional organizational skills and ability to manage multiple priorities effectively.

Demonstrated problem-solving and decision-making skills.

Demonstrated analytical and influencing skills to escalate issues.

Strong written and verbal communication skills, with the ability to articulate complex information clearly.

Fluency in English.

Ability to work in a team-oriented environment.

Ability to collaborate across departments to deliver effective solutions for our internal and external clients.

Ability to create connections with clients, aiming to provide satisfactory client experience.

Education:

Bachelor’s degree/University degree or equivalent experience in Law or Economic areas (Accounting, Administration, Economics, Finance, or related areas).
