Job Overview
The Facilities Ops Asset Manager is a strategic professional who stays abreast of developments within own field and contributes to directional strategy by considering their application in own job and the business. Recognized technical authority for an area within the business. Requires basic commercial awareness. Developed communication and diplomacy skills are required in order to guide, influence and convince others, in particular colleagues in other areas and occasional external customers. Significant impact on the area through complex deliverables. Provides advice and counsel related to the technology or operations of the business. Work impacts an entire area, which eventually affects the overall performance and effectiveness of the sub-function/job family.Responsibilities:
- Provides end to end facilities operations services including design & construction project management, physical operations and maintenance of building /facilities.
- Manage full budget responsibility for repairs and maintenance of all buildings.
- Ensuring compliance with Citi Realty Services (CRS) operating policies and procedures, health and environmental standards and with all related local regulations.
- Responsibility for obtaining all necessary building related licenses and permits.
- Liaise with building owners on all aspects of asset management activities in particular to lease obligations and building resilience.
- Manage day-to-day building operations for the office building infrastructure.
- Manage the fire life safety infrastructure and ensure that all fire alarm systems, fire extinguishing systems etc. are properly maintained, tested and documented.
- Closely manage all building expenses, exercise expense control process and ensure any expense reduction opportunities are highlighted.
- Monitor and ensure accurate Real Estate Management System (REMS) reporting
- Create REMS work orders and purchase requisitions and approve related invoices within the respective signing authority.
- Ensure all aspects of building house keeping tasks, maintenance and safety are carried out in full compliance with corporate standards and local legal requirements.
- Supervise and monitor preventative maintenance scenarios.
- Develop, implement and monitor detailed process descriptions.
- Project managing small moves and building infrastructure replacement / upgrade projects.
- All other compliance requirements relating to the asset management function including but not limited Risk and Control Self Assessment (RCSA), records retention and information security.
- Develop, implement and monitor energy awareness programs.
- Regularly monitor air, water and electrical quality.
- Negotiate contracts for repairs to ensure cost effectiveness and maintenance of quality.
- Monitor services provided by all vendors to ensure contractual agreements are met and customer satisfactions level are maintained.
- Gathers all space usages changes and support the compilation of monthly space & occupancy reports to ensure a proper space & occupancy charging.
- Inventory management of Citigroup’s non-technology assets including reporting to local financial control teams.
- Ensure maintenance of accurate data in the environmental database.
- Ensure timely reporting and updates to Citigroup Insurance Risk Management (CIRM) on all matters relating to building insurance.
- Maintenance of a CRS Continuity Of Business plan, including updating of Living Disaster Recovery Planning System (LDRPS) and close coordination with Country COB officer.
- Maintain good working relationship with facility management contractor teams.
- Provide ad hoc reports to CRS local and regional management.
- Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.
- 6-10 years relevant experience
- Proficient in Microsoft Office with an emphasis on MS Excel
- Self-motivated and detail oriented
- Proactive leadership and motivational skills
- Consistently demonstrates clear and concise written and verbal communication skills
- Proven influencing and relationship management skills
- Excellent knowledge of legal, fire, safety and construction law.
- Bachelor’s/University degree, Master’s degree preferred
Project Director (D&C Office and Retail Mexico)
This individual is a key member of the Design & Construction office delivery team in Mexico.
Main objective is to successfully deliver projects on time and budget to the customer’s requirements
Description:
To provide leadership to Design and Construction project delivery teams to ensure projects are delivered successfully with strong communication and in alignment with the approved Budget, Schedule and scope.
Responsible for project delivery.
Works in close partnership with D&C Lead and groups from Citi and externals to ensure delivery in scope, budget, time and quality expected.
Key Responsibilities:
- Provide vision and leadership to Project Management providers
- Establish initial project brief with end users and document
- Handover projects to the Project Managers when required to be rolled into the execution phase
- Oversee delivery of projects within allocated program of work
- Act as escalation point for resolution of project issues and mitigation planning
- Manage relationship with Asset Management
- Report on project performance to workstream heads highlighting issues, mitigation plans, and progress
- Proactively assess workload trends and needs and appropriately resource with PM providers
- Engage internal stakeholders at project kick off, encourage coordination with CRS groups, and manage performance in deliverables (CTI, CSIS, Real Estate)
Project Management:
- Develop initial project brief to a full project brief upon receipt of project from Project Director
- Develop project scope allocation matrix for key suppliers to divide delivery responsibilities
- Manage stakeholders and communicate issues as necessary including escalating upwards
- Develop and own project scope, schedule and budget
- Oversee work of the design team to ensure alignment with scope, schedule and budget
- Oversee contractors to ensure alignment with quality, safety, scope, schedule and budget
- Provide D&C approved inputs to project Budget
- Production of project level reporting
- Manage the compliance of the project with Citi policies and seek management approvals for decisions where required
Cost Management
- Work with Project Director to confirm scope for capital planning and option analyses
- Manage project budget in terms of commitments, spend to date, change, risks, and forecast costs
- Produce reports on project costs outlining anticipated final cost against approved budget
- Provide value engineering proposals during delivery of services for approval by Citi Regional Leads
