The Facilities Ops Asset Manager is a strategic professional who stays abreast of developments within own field and contributes to directional strategy by considering their application in own job and the business. Recognized technical authority for an area within the business. Requires basic commercial awareness. Work impacts an entire area, which eventually affects the overall performance and effectiveness of the sub-function/job family.

Responsibilities:
  • Provides end to end facilities operations services including design & construction project management, physical operations and maintenance of building /facilities.
  • Manage full budget responsibility for repairs and maintenance of all buildings.
  • Ensuring compliance with Citi Realty Services (CRS) operating policies and procedures, health and environmental standards and with all related local regulations.
  • Responsibility for obtaining all necessary building related licenses and permits.
  • Liaise with building owners on all aspects of asset management activities in particular to lease obligations and building resilience.
  • Manage day-to-day building operations for the office building infrastructure.
  • Manage the fire life safety infrastructure and ensure that all fire alarm systems, fire extinguishing systems etc. are properly maintained, tested and documented.
  • Closely manage all building expenses, exercise expense control process and ensure any expense reduction opportunities are highlighted.
  • Monitor and ensure accurate Real Estate Management System (REMS) reporting
  • Create REMS work orders and purchase requisitions and approve related invoices within the respective signing authority.
  • Ensure all aspects of building house keeping tasks, maintenance and safety are carried out in full compliance with corporate standards and local legal requirements.
  • Supervise and monitor preventative maintenance scenarios.
  • Develop, implement and monitor detailed process descriptions.
  • Project managing small moves and building infrastructure replacement / upgrade projects.
  • All other compliance requirements relating to the asset management function including but not limited Risk and Control Self Assessment (RCSA), records retention and information security.
  • Develop, implement and monitor energy awareness programs.
  • Regularly monitor air, water and electrical quality.
  • Negotiate contracts for repairs to ensure cost effectiveness and maintenance of quality.
  • Monitor services provided by all vendors to ensure contractual agreements are met and customer satisfactions level are maintained.
  • Gathers all space usages changes and support the compilation of monthly space & occupancy reports to ensure a proper space & occupancy charging.
  • Inventory management of Citigroup’s non-technology assets including reporting to local financial control teams.
  • Ensure maintenance of accurate data in the environmental database.
  • Ensure timely reporting and updates to Citigroup Insurance Risk Management (CIRM) on all matters relating to building insurance.
  • Maintenance of a CRS Continuity Of Business plan, including updating of Living Disaster Recovery Planning System (LDRPS) and close coordination with Country COB officer.
  • Maintain good working relationship with facility management contractor teams.
  • Provide ad hoc reports to CRS local and regional management.
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.
Qualifications:
  • 6-10 years relevant experience
  • Proficient in Microsoft Office with an emphasis on MS Excel
  • Self-motivated and detail oriented
  • Proactive leadership and motivational skills
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Proven influencing and relationship management skills
  • Excellent knowledge of legal, fire, safety and construction law.
Education:
  • Bachelor’s/University degree, Master’s degree preferred
  • Definition and implementation of needed actions to contribute to the Sustainability strategies for Citi and Citibanamex, considering the reduction of the environmental footprint of the company operations across the Mexico region.
  • Quantify and track the progress against the goals for an ESG Scorecard, as well as the local, regional and global reporting.
  • Contribute and define needed actions for the renewable energy strategy, as well as energy efficiency actions accross the buildings in the portfolio to ensure the 100% renewable electricity goal achievement and maintenance.
  • Work together with the Design and construction teams, to ensure their contribution to the sustainable buildings goal that consider EDGE, LEED, WELL and waste reduction certifications.
  • Lead certification projects across the porfolio with the IFC and USGBC support for LEED, EDGE and WELL certifications. Considering sites preparation together with the  RES areas.
  • Define and support facilities management teams to contribute to the water effciency initiatives, looking to innovate for reclaimed/reused water initiatives in the operations.
  • Support RES areas to define site initial conditions when leasing, designing or constructing to be consistent with the sustainability goals contribution
  • Act as partner with all RES areas, considering their impact and contribution to the Sustainability Goals.
  • Work together with the Corporate Citizenship and Communication teams, to promote the sustainability goals awareness, employees participation and success stories.
  • Support and answer local government requests as the National Emissions report and other authorities requests related to sustainability matters.
  • Review and track data consistency to be ready for anual and semianual local, regional or global verifications.
  • Be an active promoter of the Corporate Citizenship strategy of Citibanamex, Sustainable Progress Strategy of Citi by 2025 and the Net Zero Goal by 2030.

Candidate Profile:

  • Industrial or Sustainable Development Engineering or Arquitecture Degree.
  • Sustainability related Master Studies desirable.
  • Acreditation in sustainable construction frameworks as LEED, WELL, EDGE and their certification processes is desirable
  • 8 to 10 years of proofed experience in sustainability initiatives.
