Role Overview


We are seeking a Senior Executive assistant to provide support to a new Managing Director (C16) in Markets Operations, and to provide site-management support for the Pune office.  

What you’ll do

  • Manages day to day calendar(s) of C16, with potential to grow responsibilities across Pune Markets Operations senior leadership.
  • Coordinates all aspects of executive level manager appointments, meetings, on-sites/events and conference calls
  • Works closely in partnership with the Markets Operations Chief of Staff team to deliver functional and location-specific initiatives in line with Markets Ops strategy
  • Provides on-the-ground expertise on Pune site, including navigation across local stakeholders, systems and processes
  • Engages with corporate real estate on floor space, desks, and any potential floor / building moves.
  • Part of a broader team of Senior Executive Assistants, required to build relationships and provide ad hoc support as require
  • Coordinates travel arrangements; prepare and distribute schedules/agendas for travel
  • Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
  • Orders supplies and process invoices through Procure to Pay system
  • Trains, coaches or guides other administrative staff when required
  • Schedules and coordinates 1 to 1 meetings with direct reports and team meetings.
  • May prepare and review materials and correspondence for meetings
  • Assist with creation/modification of presentations, spreadsheets, and other various documents
  • Assists in ad-hoc reports special projects as needed
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behaviour, conduct and business practices, and escalating, managing and reporting control issues with transparency.

What we’ll need from you

  • Previous Executive Assistant experience preferably within a large and complex financial services or similar organization
  • Highly proficient in Microsoft Office
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated and detail oriented
  • Ability to work independently and as part of a team
  • Focus on timely execution and delivery
  • Highly developed organization and problem solving skills
