The IT Project Analyst will execute various project management tasks, focusing on maintaining accurate project documentation, updating status reports, and ensuring all project activities comply with company policies and standards. Then ideal candidate will be responsible for overseeing the consistency and accuracy of project management practices, contributing to the smooth execution of projects within the organization of the Technology Division.

In this role, you’re expected to:

  • Maintain and update project documentation, ensuring that all project-related files, reports, and records are accurate and up-to date.

  • Prepare and update project status reports, dashboards, and presentations for management and stakeholders.

  • Track project progress against milestones and timelines, identifying any potential issues or delays and ensuring alignment with project plans.

  • Support the preparation and coordination of internal and external audits related to project management activities.

  • Provide administrative support to project managers, project members and the Project Management Office team, including scheduling meetings, preparing agendas, and taking meeting minutes.

  • Ensure that project controls are in place and effective, including adherence to company policies, procedures, and compliance requirements.

  • Manage project communication channels, including email distribution lists, newsletters, and other communication tools to keep project stakeholders informed.

  • Assist in the maintenance and enhancement of project management tools, templates, and processes to improve efficiency and standardization.

  • Maintain organized Records Management systems, ensuring that documents are stored securely following the Records Management policy and standard.

  • Support the onboarding of new project team members by providing them with necessary information and resources.

  • Participate in the development and documentation of Project Management processes, procedures, and best practices.

  • Perform data entry and basic analysis to support the preparation of project metrics and performance reports.

  • Ensure compliance with organizational policies, procedures, and standards related to project management and data handling.

As a successful candidate, you’d ideally have the following skills and exposure:

  • Excellent written and verbal communication skills in both English and Japanese for professional interactions.
  • 1-2 years of experience in a project support or administrative role, preferably within an IT or project management environment.

  • Strong organizational skills with attention to detail.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).

  • Basic understanding of project management principles and tools.

  • Ability to work collaboratively with team members and stakeholders.

  • Strong problem-solving skills and ability to handle multiple tasks simultaneously.

  • A proactive approach to identifying and addressing potential issues.

  • Bachelor’s/University degree or equivalent experience
