The Talent and Learning (T&L) team consults across the Asia Pacific franchise, aiming to maximize organizational performance to meet current and future business objectives. This is achieved by partnering with the business to effectivelymanagetalent,createandleveragediversity,andunderstandingthecompetenciesrequiredintheirteams to achieve business objectives, to then develop (where required), deliver and evaluate learning and development solutions.
TheTalentandDevelopmentAnalystwillbepartoftheTalent&LearningProfessionalServicesgroup,andwillreport directly to the Japan Talent Management Head TLPS supports the program management of regional and country: (1) talent and professional skills programs, (2) talent and performance management processes, (3) diversity and inclusion programs/initiatives sponsored by T&L.
KeyResponsibilities
TheTalentandDevelopmentAnalyst/ProgramCoordinator isresponsiblefortheexecutionofprogramlogistics. He/she oversees and coordinates multiple training programs or initiatives based on the requirements that TLPS Relationship Managers will provide. Tasks will varydepending which process group the analyst will be handling.
Below tasks should be done in Japanese and English
1.ProgramExecution:
·Respondtoparticipants’andpartners’inquiriesrelatedto:programdetails,pre-work,travel documents (including introduction and visa letter), post-program support
·Managecoordinationoftrainingvenuesorplatforms(classroomandvirtual),equipment,catering, travel arrangements, and identifying and booking faculty (internal/external), other logistics and communications
·Managethelearningeventandvendorrelationship,tendingtothepracticalaspects ofspace, contracts, schedule, technology, and materials
·Supportsthetrainingnomination/registrationprocessandtrackingregistrationtrends
·Deliver and manage regulatory related training
·Createvirtual/set-uptrainingclassrooms,performschecks,andsupportpre-programset-up
·Preparescommunicationemailsand/orcalendarinvitesandsendsittotheparticipants
·Updatesandmonitorsprogramrosters
2.TechnologyandPlatforms
·CreatesLMSactivitiesandupdatesitintheSharePointcalendar
·UploadsonlinetrainingcontentinBrainshark,Degreed,orLMS
·ActsastheSMEfortechnologyplatformsandassistsotherteammembersfortroubleshooting – LMS, Zoom, Adobe Connect, SharePoint, Slido
·Buildandmaintainstrongrelationshipwithproductmanagerssupportingtechnologyplatforms – T&L Shared Services, Digital Learning Team
·Collateprogramevaluationdataandcarryoutfirstlevelanalysis;createtrainingdashboardsto inform and support stakeholders’ decision making and guide learner activity
·CreatesandmaintainTLPS-ownedSharePointandCollaborateSites
·PartnercloselywithGlobalEventsManagementTeamforexecutionoflargescaleevents
3.ExpenseManagement
·Createpurchaseordernumbersforconfirmedengagements
·Processthepaymentforinvoicesandmonitorsthe payout
·Coordinatewithvendorsregardingthepaymentstatusofinvoices
·Respondtopaymentqueriesfromthevendor and partners
·Responsibleforexpenseaccrualsandmaintainingtheexpensetracker
4.VendorManagement
·Facilitatevendoronboarding–contractandsystem(includesvendor activation)
·Reviewvendorcontracts /scopeofwork/workorder
·Responsibleforvendorprofilemaintenance(e.g.updates)
·SupporttheBusinessManagementLeadduringcontractrenewalreviews
5.Billing
·Prepareandreviewbillingentriesforintercompanycharging
·CoordinateswithinternalCitipartnersinclearingthebilling
·Respondtoqueriesrelatedto thebillingprocess
6.BusinessManagement
·Responsibleforriskmanagement,andcomplianceandcontrolswithinT&L
·SupporttheBusinessManagementLeadinpreparing/revisingthe budget
·RepresentT&LinCiti-widePH initiativesand meetings
·Ensurecontinuityofbusinessplansareinplace
7.Reporting& Metrics
·Responsibleforcreatingstandardizedreports,metrics,anddashboardsrelatedtoTalent&Learning processes and initiatives (e.g. talent and diversity landscape, performance management completions)
·Providesfirstlevelanalysisfordashboardsandmetrics,andsuggestsdatatrendstoRMs

·Strong language capability both in Japanese and English is a must
