Team / Role Overview
Business & Travel Shared Services Generalist is an intermediate-level professional responsible for execution of BTSS functions, supporting and directly reporting to Switzerland BTSS Country Manager to ensure operational productivity and efficiency. The following products are delivered by BTSS: Mail and Distribution (including mailroom operation, messenger service); Archiving services (archiving, retrieval, destructions); Managed Print Services (device rental and maintenance, paper and accessories supply); Marketing and Transactional Print Services; Office Supplies and Stationery; Business Travel; Corporate Card Program; Invoice preparation and scanning; Reception and switchboard services; Tea and dining services; Vending services; Meeting rooms management.
This position in based in Switzerland (Zurich). The role will involve ensuring that all duties and requests are performed and completed in a timely manner and meet and deliver minimum operating standards and our agreed service levels.
What you'll do
- Support the BTSS Country Manager in the execution of the BTSS global and regional strategy.
- Provide support for various services related to core functions (Archiving, Mail & Distribution, Managed Print Services, Travel…) and Business Partner Services (Hospitality Services, Invoice Scanning Services etc.) and ensure efficient delivery of BTSS services in country.
- Utilize in-depth knowledge, skills and abilities required to resolve issues and escalate as needed.
- Monitor, assess, analyze and/or evaluate processes and data.
- Provide guidance or on the job training to new team members.
- Applies professional judgment to recommend changes to requirements relevant to specific unit of work.
- Develops working knowledge of industry practices and standards.
- Execute procedures and policies related to BTSS, expense management and services acquisition, following Citi standards.
- Review and process invoices and Purchase Orders for BTSS managed expenses.
- Support BTSS Country Head in managing and monitoring multiple 3rd party relationships owned by BTSS.
- Support BTSS Country Head in risk management, control design, execution and self-assessment, corrective action plans, risks exceptions and audits.
- Assist with budgeting, cost control and distribution and local procedures formulation in transposition of BTSS Minimum Operating Standards.
- Reconcile invoices against purchases and SLAs for related products or services.
- Partner with the other team(s) in operations function.
- Handle occasional complex and variable issues often involving multiple departments.
- Identify continuous improvement initiatives that will lead to cost savings.
- Be aware of the values and ethics of the organization.
- Direct participation in strategic projects.
- Assist the BTSS Country Management in ensuring adherence to the country financial budget while providing explanation on monthly variances.
- Support in conducting regular review of BTSS processes against policy and regulatory requirements.
What we'll need from you
- 1-3 years of relevant work experience
- Proficient in Microsoft Office Suite
- Proven organization and documentation skills
- Consistently demonstrates clear and concise written and verbal communications
- Demonstrated problem-solving skills
- Ability to manage stressful situations and timelines
- Fluent (English and German)
- Project Management Skills
- Bachelor’s degree/ University degree or equivalent experience
