Bilingual IPB U.S. Estates Sr Supervisor

The IPB U.S. Estates Unit Manager is an intermediate management level position responsible for the daily operations of the Estates Unit. The Estates Unit is a centralized team that works with the claimants/heirs of deceased customers in the fulfillment of the requirements in order to determine the corresponding distribution of the funds held in the IPB U.S. banking and/or investments accounts. 


Responsibilities:

  • Monitor operation performance of the Estates Unit by delivering quality and timeliness of service and identification of improvement opportunities based on Voice of the Client (VOC) surveys.  
  • Identify and establish operational processes to meet business performance in regards to Productivity and Quality of Service Delivery.
  • Record keeping, MIS, and periodic monitoring of cases inventory (i.e. new, legacy, and closures).  
  • Supervise a team of Estate Specialists that are responsible for managing the cases assigned to them.   
  • Review and interpret legal documentation from foreign countries in order to resolve estate accounts to properly release funds to the rightful claimants.
  • Interact with all levels of management, IPB U.S. Legal Counsel, Relationship Officers (on/offshore), Finance, CPII and CIFS broker dealers, International entities, Citibank Foreign branch personnel, foreign and domestic attorneys to obtain necessary legal opinions for the analysis of an Estate case. 
  • Ensure cases documentation comply with IPB U.S. requirements and secure corresponding approvals in a timely manner.
  • Review all Estate cases to determine whether all taxes due for the Gross Estate of the NRA have been paid, before releasing any bank deposits to the rightful heirs; including, but not limited to the validation if  investments accounts have U.S. assets.
  • Ensure proper corrective actions are taken when control exceptions are identified through the Manager's Control Assessment (MCA) or audits reviews.
  • Provide ongoing feedback, coaching and support with development plans to direct reports by partnering with human resources and ensures performance and entitlement reviews are completed on a timely manner.
  • Conduct training, monitor quality and quantity of team work and provide feedback on performance, including making recommendations on pay increases, promotions, terminations, etc.
  • Maintain an updated capacity plan to identify hiring needs and to ensure adequate staffing.
  • Operate with limited level of direct supervision.
  • Exercise independence of judgement and autonomy in problem solving.
  • Ensure unit procedures are periodically and yearly reviewed to ensure they are current and aligned to business requirements and/or regulatory changes.
  • Act as a subject matter expert (SME) to senior stakeholders and /or other team members.
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency, as well as effectively supervise the activity of others and create accountability with those who fail to maintain these standards.
  • Manage and assist creating, compiling, and executing reports for any metrics associated and needed to maintain and improve the IPB U.S. Estates Unit.


Qualifications:

  • 2+ years of experience in Paralegal or Legal Assistance experience or related business experience; including at least one-year supervisory experience.
  • Proficient knowledge of Microsoft Word, PowerPoint and Excel. Preferably experience with data analysis, pivot tables, graphs and tables.
  • Proactive leadership and motivational skills
  • Proven organization and time management skills
  • Demonstrated problem-solving and decision-making skills
  • Excellent oral and written communication skills
  • Ability to work under pressure and with tight deadlines
  • Fully bilingual in English and Spanish. Proficient in other languages’ a plus.

Education:

  • Bachelor’s degree/University degree or equivalent experience
