Position Summary and Responsibilities:
This position will provide executive support to the Citi Ventures’ Venture Investing team based in Silicon Valley.  The role will report to the Global Head of Venture Investing team and will provide executive admin support to two MDs and selective support to 2-3 junior team members.

  • Provide all daily administrative support for two Silicon Valley-based Venture Investing MDs (e.g., calendaring, day to day management, as well as exercise independent discretion when responding to inquiries)
  • Maintain frequently changing calendars through Outlook and understand Executives’ priorities to effectively manage the calendar as well as be proactive in spotting conflicts and planning ahead
  • Coordinate all aspects of executive level appointments, meetings, receptions and conference calls
  • Arrange domestic and international travel plans including compiling documents for travel related meetings and processing expense reports
  • Assist with in-office event planning and coordination ~2-4x/year
  • Collaborate with other executive assistants in our San Francisco, New York, and London offices to schedule team meetings/events and coordinate use of Citi Ventures space with visiting team members/business partners
  • Create and distribute monthly meeting metrics extracted from Salesforce
  • File expense reports
  • For 2-3 junior team members, assist with calendaring where it involves the two MDs, and file expense reports

Required Experience and Key Competencies

Technical Skills:

  • Highly proficient in MS Office (Word, Excel, Outlook, PowerPoint)
  • Experience with Concur for travel and expenses is desirable
  • Ability to gain a strong command of new systems (P2P, Citi Travel & Expense, SalesForce)

Non-Technical Skills:

  • College degree preferred
  • 3+ years’ experience as a senior level assistant.
  • Expert in multi-tasking, organizing, and prioritizing a must; proactive and anticipatory
  • Strong problem solving with ability to get things done
  • Strong written and verbal communication skills
  • Detail oriented with ability to work independently and prioritize workload
  • Energetic, responsive team player with the interest to take initiative and work in a fast-paced environment; demonstrates a high level of integrity and professionalism
  • Professional presence and ability to engage with internal and external constituents
  • Flexibility with work schedule and ability to check blackberry and work inquiries outside of standard work hours
  • Proven ability to work well with others
