This role is part of the ongoing Talent Acquisition (TA) transformation and optimisation in Asia Pacific which includes the build out of an executive search recruitment function to more effectively facilitate the success of Citi’s talent strategy.

Based in Manila this role will provide administrative support to the Asia Executive Recruitment Team in Hong Kong and Singapore to help deliver high quality recruitment services to Citi Business Leaders across the region. The role will work directly with internal and external candidates, as well as coordinate with a range of internal functions and external vendors, to create a positive high touch customer experience and facilitate an efficient executive recruitment and onboarding process.

Job Description:

  • Proactively communicate and co-ordinate with candidates, recruiters and client stakeholders with regards to executive recruitment activity related to progress on interview scheduling, issue of employment contracts, pre-employment checks and the new hire onboarding process
  • Coordinate and book meetings for the purpose of recruitment briefing and calibration between hiring managers, executive recruiters, interview panelists and external search partners
  • Coordinate the distribution of interview guides and the use of executive recruitment assessment tools
  • Support the coordination of the executive interview process including compilation of interview scheduling summaries and consolidating written interviewer feedback
  • Maintain and update a centralized executive recruitment tracking report and use this data to provide regular management reporting to track the status of open hire requisitions as well as key performance indicators related to executive recruitment
  • Track any legal and regulatory requirements required for the hiring of specific roles up until the new hire start date and raise a red flag when this may be a challenge. This includes those pertaining to immigration and work authorization to ensure Citi is fully compliant
  • Manage the administration and processing of vendor invoice payments
  • Support process improvement by helping to identify process gaps and opportunities for process improvements for existing practices.
  • Ad hoc data gathering and report preparation


Qualifications: 

  • Preferably educated to degree level but not essential if balanced with relevant experience
  • Proven experience as a team administration assistant / recruitment process coordinator
  • 2+ years in Recruiting/ Staffing/ Human Resources preferred
  • Strong customer focus, especially in delivering high quality results 
  • Strong verbal and written communication abilities and the ability to coordinate stakeholders in multiple geographies and time zones
  • Proven ability to build and maintain strong virtual and in-person relationships with colleagues, clients, and partners
  • Highly organized with strong follow up skills and the ability to multi-task with good attention to detail
  • Team oriented with the ability to flex in support of timelines and deliverables
  • Ability to maintain confidentiality and appropriately handle sensitive information with tact and discretion
  • Forward thinker with the ability to anticipate the needs of clients and candidates and identity and resolve issues quickly
  • Strong Excel and Powerpoint skills
