This role is for an Investor Services officer within the Transfer Agency. The individual interfaces with and provides high quality services to the Fund Share/Unit holders as well as to the Fund Promoters, the Fund Management company and Fund Portfolio Managers. The  Investor Services officer will report into a Section Manager of the Transfer Agency Operations Team Luxembourg.

The Transfer Agency maintains the share/unit holder register of Funds administered by Citibank Luxembourg. The Funds (domiciled in Luxembourg or offshore) have different legal structures (UCITS, UCI, SIF) and are long funds, master/feeder structures, etc.

Management of the day to day responsibilities of each team member     

Coaching and development of team members        

Develops a good knowledge of the range of processes, procedures and systems to be used in carrying out assigned tasks and a basic understanding of the underlying concepts and principles upon which the job is based.   

Must be able to exchange information in a concise and logical way as well as be sensitive to audience diversity.  

Specific Type of Work           

Client interfacing

Be the first point of contact for the Fund Share/Unit holders  

Be the first point of contact for the Fund Promoters and Management Companies

Ensure proper communication with other Departments           

Query management and issue resolution, in conjunction with the other teams of the Department                 

Represent the Transfer Agency Department in client meetings (Board meetings, Service Reviews, …)             

Represent the Transfer Agency Department in internal committees, working groups              

Maintain KPI and client logs    

Implementations & Projects

Lead new (sub-)fund implementations, including prospectus review and process set-ups      

Lead the implementation of new distributors           

Participate in the change management process for existing funds, including log maintenance, follow-up and implementation

Write BRD (business requirement document)         

Train the transfer agency teams on the new funds, processes                

Lead fund events such as mailings, fund mergers, etc             

Assist/take a leading role in the various departmental projects                 

Transaction processing, execution and settlement for AI and high value institutional funds

Assist Dealing team when needed with transaction processing, execution and settlement.   

Completion of checklists, including end-of-day controls          

Processes and procedures

Continuous focus to improve / automate processes

Maintain departmental procedures up-to-date         

Perform function in line with the departmental procedures and Citi policies            

Maintain the Fund and Distributor Operating Memoranda up-to-date      

Take full ownership of the issue log for the clients in charge.

Knowledge/Experience:

Minimum of 5 years relevant work experience        

Basic KYC / AML knowledge  

Understand capabilities of product internally/externally           

Expertise in Transfer Agency 

Exposure to projects with some external visibility   

Develop product/industry/regional experience        

Awareness of other products outside individuals Business Unit              

Work under guidance from Seniors to contribute to new business organisation, transition development and execution    

Perfect understanding of fund industry   

In-depth understanding of fund regulations

Skills:

Technical Skills

Good working knowledge of Microsoft Office (Word, Excel, Access…)

Good working knowledge of TA system

Language Skills

Strong written, verbal and listening skills in English 

Good command of at least one other language (i.e. French, German etc.)

Qualifications:

Strong background (Min. BAC +4 or Master in Economics, Accounting, Finance, Management or other relevant field of studies or equivalent professional degree (CFA, CA…)    

Minimum of 5 years work experience
